The meet entry control checklist
A four stage checklist that takes a meet from roster confirmation to entry lock to score records without your gym fronting money it never gets back.
Every meet a gym enters follows the same arc: decide who is going, collect the money, submit the list, then keep the record. Most of the pain owners describe comes from doing those four things in the wrong order or leaving one of them to the week of the meet. This checklist puts them back in sequence.
It is written for a competitive gymnastics or all star cheer program of any size, and it assumes an entry deadline that will not move for you. Work through it once per meet. After two or three meets the stages become a rhythm and the fee conversations stop being conversations at all.
Six weeks out: confirm who is actually eligible
Four weeks out: get the money in before the host does
Lock week: submit the entry and close it
After the meet: turn the weekend into records
How to use it
Run the checklist per meet, not per season. The stages are timed against a single entry deadline, and a season plan cannot protect you from a host who closes entries on a Tuesday in October. Print it, or keep the editable copy in the same folder as your meet schedule.
The stage that changes gyms most is the second one. Moving your internal payment deadline ahead of the host deadline turns entry season from a collections scramble into an administrative task. Owners who make that single change usually report the write off number drops before anything else improves.

Questions about this document
How far ahead should the internal payment deadline sit?
Two weeks ahead of the host deadline works for most gyms. It gives you time to send one reminder and still pull an unpaid athlete before the entry becomes nonrefundable. Gyms with a history of late payers sometimes stretch it to three.
What if a family pays after we have already scratched their athlete?
Refund or credit the payment and hold the scratch. Reversing a scratch after entries lock is usually impossible anyway, and reversing your own policy teaches every family that the deadline is negotiable.
Does this checklist work for all star cheer as well as gymnastics?
Yes. Swap events for divisions and levels for team tiers and the sequence is the same. Cheer entry deadlines and credentialing requirements are just as firm, and the money is committed at the same moment.
The same sequence, with the roster already in it
Every stage on this checklist is work somebody at your gym does by hand right now: verifying membership through the meet date, sending the unpaid list, reading the entry back event by event with a second coach. VaultChalk runs that sequence off the records your coaches already keep, so unpaid names surface before entries lock instead of after. Bring your next meet to a demo and we will build the entry with you.
