VaultChalk is published by MLJ, SASU. This policy explains what personal data this website collects, why it is collected, how long it is kept and what you can ask us to do with it. It is written to be read once, in full, without a lawyer beside you.
What the contact form collects
The only place this website collects personal data is the request form in the contact section of the home page. The exact fields submitted are: name (your full name), email (your work email address), company (your gym name), role (your job title from a fixed list), request (whether you want a demo, early access or a quote), size (the number of competitive athletes on your team), message (your free text answer), and consent (your confirmation that we may hold these details in order to reply).
Three hidden fields travel with the submission: a form name identifier, a subject line and the recipient address, all of which exist so the message reaches the right inbox. A honeypot field named bot-field is included to catch automated spam and is expected to remain empty. We do not collect athlete data through this website. Athlete records exist only inside the paid product, under the contract described in the terms of service.
Legal basis
For visitors in the European Economic Area and the United Kingdom, we rely on your consent, given by checking the consent box, and on our legitimate interest in responding to a commercial enquiry that you initiated. For visitors in the United States, the submission is processed to provide the information you requested. You are never required to submit the form to read this site, and there is no part of the site placed behind a form.
How submissions are processed and stored
Form submissions are processed and stored by Netlify, Inc., 512 2nd Street, Suite 200, San Francisco, CA 94107, United States, which hosts this site and operates its form handling. A copy of each submission is delivered by email to jimenezjulien42@gmail.com. Access to the submission list is limited to the publication director and to the two colleagues who answer support email. Netlify processes the data as our service provider under its own security and confidentiality commitments.
Retention
Enquiries that do not become customers are deleted no later than 24 months after the last message in the exchange. If your gym becomes a customer, the enquiry is kept for the life of the account and for 3 years after it closes, because it forms part of the commercial record. You may ask for earlier deletion at any time and we will act on it within 30 days unless we are required by accounting law to keep an invoice record.
Cookies and analytics
This website sets no advertising cookies, runs no third party analytics script and embeds no social media tracking pixel. There is no cookie banner because there is nothing to consent to. Our host keeps standard server request logs, including truncated IP addresses, for security and abuse prevention, and those logs are not used to build a profile of you.
Your rights under US state privacy laws
If you are a resident of California, Colorado, Connecticut, Utah or Virginia, you have the right to know what personal data we hold about you, to obtain a copy of it, to correct inaccurate data, and to request deletion. You may also opt out of the sale or sharing of personal data and of targeted advertising. We do not sell personal data, we do not share it for cross context behavioral advertising, and we run no targeted advertising, so there is nothing to opt out of, but the right stands and we will confirm this in writing on request. California residents may also designate an authorized agent to make a request on their behalf, and we will not treat you differently for exercising any of these rights.
Your rights under the GDPR
If you are in the European Economic Area or the United Kingdom you have the right of access, rectification, erasure, restriction of processing, data portability and objection, and the right to withdraw consent at any time without affecting processing already carried out. You also have the right to lodge a complaint with your national supervisory authority. In France, that authority is the Commission Nationale de l'Informatique et des Libertes.
How to exercise your rights
Write to jimenezjulien42@gmail.com from the address you used on the form, or tell us which address you used. Say what you want: a copy, a correction or a deletion. We reply within 30 days, usually within two business days, and we do not charge a fee. If we need to verify your identity we will ask for the minimum information required and nothing more.
Children's privacy
This website is aimed at gym owners, directors and coaches, and it is not directed to children. We do not knowingly collect personal data from anyone under 16 through this site. Athlete records inside the paid product are entered by the gym, which acts as the controller for that data and is responsible for obtaining parental or guardian consent under its own policies and under the applicable state law. If you believe a child has submitted personal data through this website, write to us and we will delete it promptly.
International transfers
The publisher is established in France and the hosting and form processing take place in the United States. Where personal data of an EEA or UK resident is transferred to the United States, the transfer relies on the European Commission standard contractual clauses incorporated in our processor agreements, together with the technical measures described above. Data belonging to United States customers stays in United States regions.
Security
Traffic to this site is encrypted in transit. Submission data is encrypted at rest by our host. Access is limited by role, protected by multi factor authentication, and reviewed twice a year. If a data breach affecting your personal data occurs, we will notify affected people and the competent authority within the time limits set by the applicable law.
Changes to this policy
If this policy changes we will update the date at the top of the page and, when the change is material, we will send a note to anyone with an open enquiry or an active account. The current version always sits at this address, and earlier versions are available on request.
